Convention and pop-up setup

For selling at a table: a con, a flea market, a shop pop-up. The aim is a bag you can scan and a record that survives a chaotic Saturday. Labels and Square need a Seller plan or above. Do the prep at home, not in the hall.

1. Decide what is going in the boxes

In Inventory, select what you are taking. Price it now, at the desk, with the values in front of you. Pricing under time pressure at a table is how books go out too cheap.

2. Print the labels

With the books selected, choose Print Labels. Pick a sheet template, choose the fields you want on the label (title, issue, grade, price, key flag), and include the barcode. You get a PDF to print on Avery-style sheets.

Each label carries that copy’s SKU, which is what ties a scan at the till back to the exact row in your inventory.

3. Set up the till

Connect Square from Settings → Data, then use Sync catalog to push your unsold books into Square with their SKUs. Scanning a label at the till then rings up the right book at the right price, and the sale flows back into Stash and marks the book sold.

On a Shop plan you can instead export a POS catalog CSV for a different till system.

4. Test it before the show

Ring up one cheap book at home: scan the label, complete the sale in Square, then check that the book shows as sold in Stash. Ten minutes here saves a day of hand-reconciliation later.

5. Work the table

Scan and sell. Books you discount at the table can be adjusted in Square at the point of sale. For cash deals with no till involved, note them and log them at the end of the day.

6. Reconcile that night

Go through the day: anything sold off-till gets logged with Log a sale on the item, anything that came back in the boxes stays in stock. Then read the dashboard while the day is fresh.

Gotchas

  • Hall wifi is unreliable. Take a printed list of what you brought and what it is priced at, and do not plan on looking books up live.
  • Labels go on the bag, never the book.
  • Books listed online are still listed online. If you sell a copy at the table, log it that night so it stops being offered on your other channels.
